Roles and business boundaries
The platform, Organization admins, academic admins, teachers, and students each have their own responsibility in speaking business.

Audience: All roles · Applies to: SaaS / private
Goal: When you wonder “why can’t I pick this practice type / who can change policy / who owns this class,” use this table to find the responsible layer.
Division of labor in one sentence
| Role | Owns | Does not own |
|---|---|---|
| Platform / super admin (L0) | Instance capability packs, global scenario catalog, default pipeline templates, speaking engine | Which exact prompt a class practices today |
| Organization admin (L1) | Org practice policy, branding/plan, full directory and import; creates academic admins in Manage team | Writing every assignment title for teachers |
| Academic admin (optional) | Class ops within authorized classes: create/copy classes, roster care, close classes (continue learning / leave school), Reports three tabs, etc. (per template and UI) | Org policy / branding / plan; Manage team; archive classes; unauthorized classes |
| Teacher (L2) | Class practice defaults, per-task type/scenario/deadline, exam rules (within allowed range); students see tasks under Speaking → To-do; class roster shows oral placement summary (read-only) | Enabling platform capability packs the org has not opened; cannot operate placement for students or replay placement audio |
| Student (L3) | Personal practice experience prefs (error display, voice playback, etc.); free-practice prefs when no task (if org allows); practice entry is Speaking five sub-pages; optional oral placement from Home / Me (profile + review analysis) | Org policy or teacher task rules; cannot use placement to change class difficulty |
Academic admins and Organization admins share the App login Organization choice—see Three roles and entry points, Manage team: add academic admins.
Oral placement (boundary quick reference)
Separate from L1 practice policy and L2 tasks; not one of the five Speaking tabs.
| Role | Relationship to placement |
|---|---|
| Platform / super admin | Usually built into speaking instances; typically no separate L0 toggle (per product) |
| Org / academic | Cannot disable placement via practice policy; cannot auto-change class language level from placement band |
| Teacher | Read-only roster summary (band + reference tag); may encourage voluntary baseline / retake |
| Student | Voluntary from Home / Me → Oral placement; history and review analysis |

Common misunderstandings
| Situation | Common cause | Who to ask |
|---|---|---|
| Teacher cannot pick “speaking exam” when assigning | Platform exam pack not open, or org policy not enabled | Organization admin first, then platform if needed |
| Student wants free practice but entry is grayed out | Org has not enabled “allow self-directed practice” | Organization admin |
| Student changed prefs but assignment still follows teacher rules | With a task, the task wins; prefs mainly affect free practice | Normal—see L2 / L3 |
| Super admin UI shows pack disabled but speaking works | “Capability pack catalog” and “speaking engine ENV” are separate switches | See Platform capability packs |
| Academic admin cannot see plan or practice policy | Org-level config is Organization admin only | Normal—ask Organization admin |
| Academic admin class list is empty | Manage team did not authorize classes, or grants changed | Organization admin adds authorization in Manage team |
| Cannot find oral placement | On Home or Me, not in the five Speaking tabs | See Oral placement |
| Want placement band to change class level | Placement writes profile only; does not auto-change class | Academic staff maintain class language level in class settings |
